1. When is rental agreement translation required?
Translation is required when the rental agreement (umowa najmu) or related documents are not in Polish and you submit them in an official procedure in Poland.
Translation is required for:
- Meldunek: the gmina office requires a rental agreement or landlord's statement — if the document is in another language, sworn translation is needed.
- Bank account: many banks request address confirmation — sworn translation of the rental agreement.
- Residence permit: the voivodeship may require the agreement as proof of accommodation.
- Employment: employers sometimes ask to confirm your residential address.
- Social benefits: programmes requiring proof of residence.
- Court and notarial procedures: property disputes, eviction, landlord disputes.
Important!
2. Which rental documents to translate
Before ordering translation, use the table below — which rental documents to translate and what to verify before sending scans.
The rental document package may include several papers — confirm with the office what exactly is required.
| Umowa najmu (main contract) | full translation of all pages with terms, czynsz amount, duration, deposit (kaucja) and signatures. |
|---|---|
| Aneks do umowy najmu (annex) | changes to term, amount or conditions — translated together with the main contract. |
| Oświadczenie właściciela | landlord's consent for meldunek — often required with the contract. |
| Protokół zdawczo-odbiorczy | handover protocol — if required by the office. |
| Validity | translation is done on a valid contract; an expired contract may be rejected. |
| Language pair | the sworn translator must be accredited for source language → Polish. |
3. Translation requirements
The gmina office, bank and residence permit applications require sworn translation into Polish with a Ministry of Justice register seal.
- Full translation: all pages including stamps, seals and signatures — no summaries.
- Data accuracy: address, rent amount, term and names must match the original and passport.
- Validity: translation on a valid contract.
Note
4. What happens if the translation is incorrect?
- Meldunek rejection: the gmina will not register your address — you will need to resubmit.
- Residence permit delay: the voivodeship may suspend the case until a correct sworn translation is provided.
- Extra costs: re-translation, new contract, courier delivery and lost time.
5. Step-by-step guide
Confirm with the gmina office or bank which rental documents are required.
Make quality scans of all contract pages.
Send scans to a translation agency — they will confirm cost and turnaround (usually 24–48 hours).
Receive the finished sworn translation with seal.
Before submission, verify address, amount, term and names against the original.
Submit the original together with the sworn translation.
6. Cost and turnaround
Cost depends on contract volume and source language. Exact pricing is confirmed after reviewing scans — indicative rates on the price list.
A typical 2–4 page agreement usually fits the standard rate.
Standard turnaround: 24–48 hours after order confirmation.
