1. When online sworn translation ordering makes sense
Online ordering works when your city has no sworn translator for the required language pair, you have no time for travel and waiting, or you are outside a major city — in a small town or abroad — but need documents for a procedure in Poland.
Online ordering works when:
- Migrants and students: residence permits, employment, university admission — document packages are often assembled remotely. Scans of certificates, diplomas and criminal record checks can be sent from anywhere in Poland.
- Small towns and voivodeships: fewer sworn translators than in Warsaw or Kraków. Online ordering removes the geographic barrier — price and turnaround do not depend on your address.
- Urgent cases: when the submission deadline is days away, online ordering saves 1–2 days of logistics. Standard turnaround is 24–48 hours from confirmation; express on request.
- Multiple documents at once: convenient to send the full set in one scan package and receive a single delivery.
Note
2. How online ordering works: what changes and what does not
Online changes how documents are submitted, not the legal force of the translation. Below are four process stages in a table — save it to track where you are.
| Scan upload and quote | Stage 1 — sending scans: you submit PDF or JPG of all document pages via a form or messenger. The translator sees volume, language pair and complexity — the original stays with you at this stage. Stage 2 — quote and confirmation: the bureau gives exact cost and deadline before work starts. You agree details and pay. Do not transfer money without price confirmation. |
|---|---|
| Translation and certification | Stage 3 — translation and certification: a sworn translator from the Ministry of Justice register performs the translation, numbers pages, applies seal and signature. Legal force is the same as ordering in person. Stage 4 — review and delivery: you receive PDF to verify data. After approval — paper copies by courier or InPost. |
| Review and delivery | What does not change with online ordering: office format requirements, language pair, apostille needs, certificate validity. Online only changes how documents are submitted and how you receive the result. How online differs from regular translation: regular translation without a sworn seal has no legal force in Poland. Online ordering is not a "cheaper alternative" but the same sworn translation done remotely. An electronic version with a qualified translator signature exists, but most offices still expect a paper copy. |
Important!
3. Scan requirements for online orders
Scan quality determines whether translation is accepted first time. Blurry stamps and cropped edges are the most common cause of delay.
Scan quality requirements:
- Resolution: minimum 300 dpi for PDF or a clear photo in good light.
- Completeness: all document pages — including diploma supplements and certificate reverses.
- Format: PDF preferred. JPG acceptable if every page is readable.
- Data match: names, dates and numbers on the scan must match passport and application.
- Original or copy: confirm before ordering. Residence permit cases often accept translation from a quality copy.
Note
4. Step-by-step: ordering sworn translation online
List documents required by the office. Check certificate validity and apostille needs.
Scan all pages — PDF, 300 dpi, stamps and signatures readable.
Specify language pair, purpose and preferred deadline.
Send scans and wait for a quote: exact cost after document review. Guide price from 161 PLN; details on the price list.
Pay after agreeing the amount. Work starts after payment confirmation and scan quality check.
Review the PDF: names, dates, numbers, seals.

5. Nationwide delivery and pricing logic
Delivery: courier to any address or InPost parcel locker.
Delivery time: usually next business day after translation is ready.
Translation cost depends on text volume, not city. Typical birth certificate — 1 page. Diploma with transcript — 3–15 pages.
Exact amount is given after scan review — before work starts. Current rates on the price list.
Standard turnaround — 24–48 hours. Diploma with transcript — 2–4 business days. Urgent same-day on request.
