1. Ukrainian to Polish translation vs document translation: what is the difference
Searches for «Ukrainian to Polish translation» and «translate documents from Ukrainian to Polish» often lead to the same task — preparing a package for urząd, an employer, or study. The difference is format: a regular text translation is enough for personal use; offices, courts, ZUS, and NAWA require sworn document translation with the seal of a translator from the MS register for the ukraiński–polski pair.
If you need a sworn translator from Ukrainian to Polish for official papers — check the rejestr tłumaczy przysięgłych: the profile must list ukraiński → polski. At LEGIX, sworn translators work in a bureau: you send scans — we complete the translation and deliver the finished package by courier across Poland.
2. When is Ukrainian to Polish document translation required?
Any official document issued in Ukrainian will only be accepted by a Polish authority with tłumaczenie przysięgłe — sworn translation into Polish. This applies to paper civil status certificates as well as diplomas, records, and contracts. The 1993 Poland–Ukraine agreement simplifies circulation of many civil status documents: birth, marriage, and divorce certificates often do not require apostille between PL and UA. However, translation remains mandatory — and only from a tłumacz przysięgły with the ukraiński–polski pair in the MS register.
Translation is required for:
- Karta pobytu: the voivodeship office (urząd wojewódzki) requires sworn translation of birth and marriage certificates, diplomas, civil status records, military documents, and income confirmations. Certificate validity is usually 3–6 months; confirm with your voivodeship before ordering translation.
- Employment and ZUS: employers, the labour office, and insurers request translation of diplomas, employment records, criminal record certificates, medical opinions, and contracts. For licensed professions (medicine, construction), certificates and qualification recognition decisions must also be translated.
- Education and NAWA: for university admission or diploma nostrification, the institution and NAWA require sworn translation of school certificates, diplomas, and grade transcripts. Educational documents from Ukraine often need apostille from the Ministry of Education — since February 2026, apostille includes an electronic register and QR code on the paper document.
- Marriage and USC: Ukrainian certificates must be translated for marriage or birth registration. USC may require translation from the original, not a copy — confirm with your civil registry office before sending scans.
- PESEL and meldunek: for registration, passport data, certificates, lease agreements, and property ownership documents must be translated. Address or name mismatches between documents are a frequent cause of rejection.
- Court and legal proceedings: lawsuits, inheritance, guardianship, divorce with a foreign element — courts require sworn translation of all Ukrainian documents, including court judgments and notarial acts.
Important!
3. Which documents are translated from Ukrainian to Polish
Below is a table of documents most often translated from Ukrainian in 2026. Save it — when preparing an office submission, check by category rather than from memory.
| Civil status certificates | Birth, marriage, divorce, and death certificates — the most common documents for USC and karta pobytu. Translation covers everything: all details, stamps, signatures, and surname change notes. For marriage registration, USC typically requires a certificate no older than 3–6 months. Civil registry extracts from Ukraine are translated the same way as paper certificates — with entry number, registering authority, and issue date. After a surname change through marriage, verify that patronymic and surname match across all documents in the package. |
|---|---|
| Education and work | Bachelor's, master's, and specialist diplomas, secondary school certificates, and grade transcripts — for employment, study, and nostrification. Every page is translated, including grade tables, university stamps, and diploma supplements. NAWA often requires apostille from Ukraine's Ministry of Education. Employment records (trudova knyzhka), employer certificates, seniority confirmations, military documents, and family composition records — for hiring, work-based karta pobytu, and experience verification. All filled pages are translated, even if the office only requested recent entries. |
| Certificates and legal | Criminal record certificates (for offices and employers), medical opinions, sick leave forms, lease agreements, powers of attorney, court judgments — for offices, courts, ZUS, banks, and notaries. Criminal record validity is usually 3–6 months. Sworn translation is done from Ukrainian into Polish in full — preserving structure, decision numbers, names, and dates. The translator enters each page in the sworn translator register. The billing standard is 1125 characters including spaces per translation page. We quote after reviewing your document — see the price list for typical ranges. Standard turnaround is 24–48 hours for typical single-page documents; a diploma with supplement takes 2–4 business days depending on volume. Express translation is available by arrangement. Finished translations can be delivered by courier across Poland or collected in person. |
4. Sworn translation requirements
Offices, USC, courts, ZUS, NAWA, universities, and employers require tłumaczenie przysięgłe — sworn translation from Ukrainian into Polish with the seal of a translator from the Ministry of Justice register. Verify credentials in the Ministry of Justice register: the translator's profile must list the ukraiński → polski language pair.
- Regular, machine, or «sworn» translation without the tłumacz przysięgły seal will not be accepted — the document will be returned and you will be asked to obtain a proper sworn translation, adding 1–3 weeks to your timeline.
- The translator must be accredited specifically for the Ukrainian–Polish pair. A tłumacz with rosyjski–polski or angielski–polski accreditation cannot certify a Ukrainian document — such a translation is invalid.
- The translation must include all pages of the original: text, stamps, signatures, seals, watermarks, and annotations. Names, dates of birth, document numbers, and addresses must exactly match the original, passport, and wniosek. USC and NAWA may require translation from the original, not a copy, for certain procedures — confirm before ordering.
Note
5. Step-by-step guide
Compile the list of documents required by the office, employer, USC, or NAWA. Send readable scans to LEGIX — we will assign a sworn translator with the Ukrainian–Polish pair from the MS register, confirm certificate validity (usually 3–6 months), and whether apostille is needed. Cross-check names with your passport before submission.
Prepare quality scans or photos of every page of each document: text, stamps, signatures, apostille QR code (if present). PDF or JPG format, minimum 300 dpi resolution. Blurry stamps are a common cause of delay.
Check whether apostille is required. Under the 1993 PL–UA agreement, many civil status documents do not need apostille. Educational documents for NAWA more often require apostille from Ukraine's Ministry of Education. Since February 2026, apostille is verified via QR code in the electronic register.
Send scans to LEGIX — we will perform sworn translation of documents from Ukrainian into Polish, confirm the exact cost (standard: 1125 characters per page) and turnaround: typically 24–48 hours, express available on request.
Receive the finished translation with the tłumacz przysięgły seal (by courier or in person). Cross-check every name, date, and number against the original, passport, and wniosek. Patronymic and transliteration errors are the main cause of wezwanie.
6. Cost and turnaround
Cost depends on volume: the billing standard is 1125 characters including spaces per translation page. Typical single-page documents start from 161 PLN; current prices in the price list.
A birth or marriage certificate is usually 1 page (up to 1125 characters). A diploma with supplement ranges from 3 to 15 pages depending on volume. A criminal record certificate is 1–2 pages. We quote the exact amount after reviewing your scan: characters are counted per original page.
Standard sworn translation turnaround from Ukrainian is 24–48 hours from order confirmation and receipt of readable scans. A diploma with supplement takes 2–4 business days. Express translation is available — confirm when sending documents.
